Cityzencar ("we", "us", "our") operates the website www.cityzencar.com and arranges private transfer and chauffeur hire services worldwide. For the purposes of the General Data Protection Regulation (GDPR) and applicable EU data protection law, Cityzencar is the data controller responsible for your personal data.

2. What data we collect

We collect personal data that you provide directly when using our website or communicating with us:

  • Booking data: Pickup and drop-off locations, travel dates and times, passenger count, luggage requirements, vehicle preference, flight numbers, and special requests.
  • Communication data: Messages sent via our contact form or email correspondence.
  • Technical data: IP address, browser type, device information, and pages visited — collected automatically through standard server logs when you browse our site.

We do not intentionally collect sensitive personal data (such as health information) unless you voluntarily include it in a special request field. Please limit such information to what is necessary for your journey.

3. How we use your data

We process your personal data for the following purposes and legal bases:

  • Quotation and booking fulfilment (contract performance): To prepare quotes, confirm bookings, assign drivers, and deliver the requested transport service.
  • Customer support (contract performance / legitimate interest): To respond to enquiries, handle complaints, and provide 24/7 assistance.
  • Partner coordination (contract performance): To share necessary booking details with licensed transport operators and chauffeurs who perform the service.
  • Legal compliance (legal obligation): To comply with tax, accounting, and transport regulatory requirements.
  • Website security (legitimate interest): To detect spam, fraud, and abuse including honeypot validation on forms.

We do not use your data for automated decision-making or profiling that produces legal effects.

4. Sharing your data

We share personal data only when necessary:

  • Partner operators and drivers: Name, contact details, pickup information, and journey requirements needed to perform your booking.
  • Service providers: Email delivery (SMTP), hosting, and IT infrastructure providers bound by data processing agreements.
  • Legal authorities: When required by law, court order, or to protect our legal rights.

We do not sell your personal data to third parties. Partner operators in countries outside the European Economic Area (EEA) receive data only where appropriate safeguards exist (such as Standard Contractual Clauses or adequacy decisions).

5. Data retention

We retain personal data only as long as necessary:

  • Quotation requests not converted to bookings: Up to 12 months, then deleted or anonymised.
  • Completed bookings: Up to 7 years for accounting, tax, and legal claims purposes.
  • Contact form messages: Up to 24 months unless an ongoing relationship exists.
  • Server logs: Typically 90 days.

6. Your rights under GDPR

If you are in the EEA, UK, or another jurisdiction with similar protections, you have the right to:

  • Access — Request a copy of the personal data we hold about you.
  • Rectification — Correct inaccurate or incomplete data.
  • Erasure — Request deletion where there is no compelling reason to continue processing.
  • Restriction — Limit processing in certain circumstances.

Our website currently uses only essential technical cookies required for basic functionality. We do not use third-party advertising or analytics cookies at launch. If this changes, we will update this policy and, where required, request your consent before placing non-essential cookies.

8. Security

We implement appropriate technical and organisational measures to protect your data, including HTTPS encryption, access controls, input validation, honeypot spam protection, and secure email transmission. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security but we continuously review our practices.

Our services are not directed at individuals under 16. We do not knowingly collect personal data from children. If you believe a child has submitted data through our forms, please contact us and we will delete it promptly.
